TITLE: Career Advisor (Special Programs)
REPORTS TO: Executive Director
LOCATION: Tacoma, WA
EMPLOYMENT TYPE: Full-time, Non-Exempt Employee
Opportunity: Career Team is looking for a high energy, service driven individual to be a Career Advisor (Special Programs) and serve our Young Adult, Adult, and Dislocated Worker job seekers in Pierce County by helping them connect to employment and training opportunities. This role will have a primary focus on providing career counseling, intensive and case management and follow-up services to job seekers in order to help them obtain livable wage employment.
The ideal candidate will be able to work well autonomously and be able to maintain and strengthen partnerships with existing partners. Work will be performed under the WIOA (Workforce Innovation Opportunity Act) Program underneath the Pierce County WorkSource umbrella. Work will be performed under the supervision of the Executive Director. If you have the heart to serve this community and the drive to do so, we want to meet you. Your Impact on Career TEAM’s Success:
Work Experience (Internship) Program Ownership (65%)
Lead and manage the internship program, also known as the Work Experience (WEX) program, including participant enrollment, placement, monitoring, and completion.
● Develop and maintain relationships with employers, community organizations, and training providers to create and sustain WEX opportunities.
● Match participants to appropriate worksite placements aligned with their Individual Employment Plans (IEPs).
● Ensure all WEX documentation and compliance requirements are met, including:
● Worksite agreements
● Training plans
● Timesheets and payroll coordination
● Case notes and progress tracking
● Conduct regular worksite monitoring and participant check-ins to ensure successful engagement and address issues proactively.
● Track and report on WEX performance metrics, including participation, completion, and employment outcomes.
● Collaborate with Career Advisors and Team Leads to identify candidates and maintain a strong pipeline of participants.
● Identify and implement strategies to expand WEX opportunities and improve program outcomes.
Career Advising (20%)
● Manage a reduced caseload to support WEX program responsibilities, providing intensive case management to registered One-Stop customers.
● Conduct intake, eligibility determination, and assessment of jobseekers’ skills, needs, and career goals through interviews, testing, and other methods.
● Develop and guide clients through Individual Employment Plans (IEPs), including preparation of Individual Training Account (ITA) vouchers and other required documentation.
● Advise clients on job opportunities, training programs, and services, making referrals and tracking participation in contracted programs.
● Deliver orientations, workshops, and group sessions, and maintain accurate case files in compliance with policies, procedures, and regulations.
● Serve as a subject matter expert on labor market trends, workforce programs, and One-Stop system resources, entering and managing data in required systems.
Special Programs Coordination (15%)
● Provide coordination and administrative support for subsidized and special workforce programs (e.g., BFET) as assigned.
● Track participant engagement, outcomes, and required documentation to ensure compliance with program guidelines.
● Serve as a liaison between internal staff, partners, and program stakeholders.
● Support program implementation, outreach, and reporting efforts.
● Special program responsibilities will be assigned based on capacity and aligned with core WEX functions.
General Responsibilities
● Maintain accurate and audit-ready documentation in compliance with WIOA and partner program requirements.
● Meet performance goals related to placements, retention, and program participation.
● Participate in all staff-related events as required including but not limited to: training, staff meetings and individual supervision.
● Complete all required reports in a timely manner.
● Approach each day and task with a proactive, solutions-oriented (“ZAG”) mindset.
● Other duties and projects as needed.
To Qualify for This Role, You Must Have:
● 2+ years of work experience combining elements of training, counseling, case management or other services;
● Strong HR experience such as handling confidential employee information and navigating workplace conflict;
● Strong organizational and project management skills, with a proven track record of managing multiple tasks effectively;
● Strong experience with outreach efforts and partnership building;
● Proficiency in data entry and exceptional attention to detail;
● Possess substantial case management experience and the ability to read and interpret policies and procedures;
● Ability to work in a variety of settings with culturally-diverse customer base with the ability to be culturally sensitive;
● Ability to serve as a role model to customers and motivate them towards achieving goals;
● Personal computer literacy required, including effective use of the Internet, e-mail, and Microsoft Office (Word, Excel and Outlook);
● Ability to meet and/or exceed set goals and objectives;
● Excellent interpersonal, time management, customer service, organizational skills and communication skills, both oral and written required;
● A Valid Driver’s License
Additional Skills/Knowledge Career TEAM Would Love for This Role:
● AA degree or higher preferred, but not required
● Experience in Human Resources, recruiting, or marketing services
● Experience and knowledge of WIOA, TANF, or workforce development contracts/programs
● Demonstrated ability to multitask and take initiative
Salary: $26.44 - $26.92 per hour
Salary is commensurate with education and experience. Career TEAM offers a competitive benefits package including healthcare, dental, and personal/vacation time
Travel: Position may require local travel up to 20% of the time
