About the Role
We're seeking an Employment Operations Specialist to support our global contingent workforce operations. You'll be responsible for the day-to-day operational execution of employee lifecycle processes for our EOR (Employer of Record) and AOR (Agent of Record) populations, ensuring smooth onboarding, offboarding, contract management, and vendor coordination. This role also supports process optimization initiatives, cross-functional workflow improvements, and vendor performance tracking to ensure scalable, compliant global workforce operations.
What You'll Do
Operational Execution
- Process onboardings, offboardings, and contract changes for provider-managed populations, including EOR (employees via providers) and AOR (contractors via providers) across multiple vendors
- Manage daily Jira queue, responding to recruiter and stakeholder requests within SLA
- Execute job title, salary, and job description changes in vendor systems
- Submit contractor payments and EOR invoices to finance systems (ZIP) with accuracy and timeliness
- Maintain accurate records for all workforce transactions
Vendor & Stakeholder Coordination
- Track and follow up on pending operational requests to ensure timely completion across providers
- Maintain regular operational communication with vendor teams to ensure smooth day-to-day delivery
- Support vendor performance monitoring by tracking SLA adherence, response times, and recurring issue patterns
- Assist in preparing documentation and data for vendor business reviews and performance evaluations
- Identify service gaps or recurring vendor issues and escalate trends to the Global Employment Operations Manager
- Coordinate expense approval workflows between provider-managed workers and their hiring managers
- Escalate complex or urgent issues to the Global Employment Operations Manager with clear context and supporting documentation
Process, Optimization & Cross-Functional Support
- Ensure data accuracy and consistency across HRIS, provider platforms, finance systems, and internal tracking tools
- Execute and adhere to established SOPs and operational workflows across all employment operations processes
- Identify process gaps, bottlenecks, manual workarounds, or inefficiencies and propose practical improvements
- Support implementation of workflow enhancements within Jira, HiBob, and integrated systems
- Participate in cross-functional process reviews with HR, Talent Acquisition, Finance, and Payroll to improve intake clarity and handoffs
- Assist in testing and validating new workflows, templates, and system updates prior to rollout
- Maintain and update operational documentation, job aids, and knowledge resources to improve consistency and scalability
- Contribute data insights and operational observations that inform broader workforce model decisions
What We're Looking For
Required
- 1-3 years of experience in HR operations, workforce coordination, vendor management, or related administrative role
- Strong attention to detail with high accuracy in data entry and documentation
- Excellent organizational skills with ability to manage multiple priorities simultaneously
- Comfortable working with HRIS systems (HiBob experience a plus) and ticketing tools (Jira experience preferred)
- Clear written and verbal communication skills for stakeholder interaction
- Problem-solving mindset with ability to identify trends, inefficiencies, and appropriate escalation paths
- Proficiency in Google Workspace and Microsoft Office (Sheets/Excel, Docs/Word)
Preferred
- Familiarity with EOR, AOR, or contingent workforce models
- Experience with invoice processing or financial systems
- Understanding of global employment compliance basics
- Experience working across multiple time zones and cultures
- Exposure to process improvement or workflow optimization initiatives
- Basic project coordination experience
