Executive Coordinator - 9mth Parental Cover

About this role

Duration: This is a fixed-term position, full-time role to cover a period of parental leave. The expected duration of the contract is approx 9 months, with a projected start date of May and an expected end date of January 2027.

Reports to: Manager, Executive Coordinators

Job purpose: As an Executive Coordinator, you will be a vital member of a highly collaborative team, working closely with colleagues to support the organisation’s leaders and ensure smooth operations. Teamwork is at the heart of this role: you’ll not only manage your own responsibilities but also step in to support fellow assistants and coordinators, especially during absences or busy periods. Flexibility, a proactive mindset, and a commitment to working together in the office are essential. 

The team: A team of executive coordinators work together to provide support across the organisation.  Each coordinator has their own responsibilities; however, these may shift from time to time, and coordinators cover for each other during periods of leave. The successful candidate will be someone who has a flexible attitude, is able to assume responsibility for a range of tasks and enjoys helping to make the lives of others easier.

Acting as an executive coordinator, the successful candidate will mainly provide a wide range of administrative and logistical support to a team of Board members. Our Board Members are an independent group of experts with an appropriate mix of recent practical experience in setting accounting standards, in preparing, auditing, or using financial reports, and in accounting education.

Principal accountabilities: 

  • Coordinate complex and frequently changing national and international travel, including itinerary planning, visa arrangements, and bookings, in line with IFRS Foundation travel policy.
  • Organise meetings, manage calendars, and prepare itineraries as needed, ensuring seamless support for leaders and teams.
  • Provide comprehensive administrative support, such as preparing meeting materials, handling correspondence, and arranging dinners or events.
  • Manage logistics for meetings, conference calls, and video conferences.
  • Posting meeting papers and ballot drafts on our internal website as required.
  • Support internal and external consultative group meetings, ensuring smooth logistics and communication.
  • Enter, maintain, and retrieve information from our CRM to support accurate record‑keeping and reporting.
  • Offer backup support and cross cover to fellow executive coordinators, especially during periods of leave, to meet deadlines and maintain seamless operations.
  • Undertake ad hoc projects as required.

Essential Qualifications
Minimum A-levels or equivalent; a degree or professional administrative qualification (e.g., ILM, IAM) is desirable but not essential
Demonstrated experience in a senior administrative, executive assistant or coordinator role, ideally within a professional or international organisation

Essential Skills & Competencies

Administrative & Organisational

  • Proven ability to manage complex, multi-leg international travel arrangements including visas, itineraries and policy compliance
  • Strong diary and calendar management skills across multiple stakeholders
  • Experience coordinating meetings, conferences and video calls end-to-end
  • Ability to prepare and distribute meeting materials, papers and correspondence accurately

Technology & Systems

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience using a CRM system for data entry, maintenance and reporting
  • Familiarity with video conferencing platforms (e.g., Zoom, Teams)
  • Experience with intranet or document management systems (desirable)

Interpersonal & Communication

  • Excellent written and verbal communication skills
  • Confident liaising with senior stakeholders and external contacts
  • Demonstrated ability to handle sensitive and confidential information with discretion

  • Ability to prioritise and multitask in a fast-paced environment
  • Flexible and adaptable, comfortable managing frequently changing priorities
  • Collaborative team player, willing to provide cross-cover support

  • Experience supporting consultative or governance groups
  • Exposure to an international or multilingual working environment
  • Experience organising events or dinners for senior stakeholders
