Position Summary
We’re seeking a full-time Pop Up Operations Specialist (official title: Retail Marketing Specialist I) for our Los Angeles-based corporate office. Support experiential and retail pop-up by coordinating logistics, production, warehouse operations and pop-up store activations. Execute operational tasks, manage inventory and vendors, support on-site builds/strikes, maintain budgets and reporting, book travel, and help deliver elevated customer.
Job Responsibilities
Logistics, Production, Warehouse & Pop-Up Operations
- Coordinate end-to-end logistics for events and pop ups: book inbound/outbound truck appointments, schedule pick-ups/deliveries/transfers, prepare shipping labels/BOLs, stage/load shipments, and manage carrier/warehouse requirements (liftgate, pallet jack, dock).
- Receive, inspect and document incoming shipments; update inventory system, report discrepancies, and perform regular cycle counts and asset condition tracking.
- Maintain inventory and storage: SKU/asset tagging, location records, third‑party warehousing coordination, returns, refurbishment routing and end‑of‑life disposition.
- Source, negotiate and manage vendors/agencies and external partners; obtain quotes, issue/track POs
- Support production planning and on-site execution: prepare run-of-show/floorplans/health & safety docs, perform minor fabrication/repairs and troubleshoot AV/production issues; travel for site visits and pop-up setup/strike and live days
- Assist with pop up store operations: execute fixture/visual placement, set up gifting stations and in-store marketing, train and direct temporary Brand Ambassadors (POS, opening/closing, customer service, merchandising, replenishment), and manage supply runs.
- Help manage financial and administrative tasks: track and reconcile pop up and logistics budgets, collect/verify invoices and receipts, code expenses, initiate payments or submit to finance, and maintain budget trackers and centralized documentation.
- Coordinate and book travel for team members and vendors as required for site visits and activations.
- Conduct customer research and performance analysis: design/implement pop up surveys and incentives, analyze results and event KPIs, compile post-mortems and present actionable recommendations.
- Ensure compliance with permits, insurance, shipping regulations and health & safety requirements; escalate complex issues to manager and participate in departmental strategy meetings.
Job Requirements
- 1-3 years experience in events, experiential marketing, production, logistics or warehouse coordination (agency or in‑house preferred).
- AA required, BA preferred, or equivalent experience
- Experience booking carriers, receiving/dispatching freight, managing inventory and processing related invoices.
- Familiarity with freight documentation (BOLs), SKU/asset tagging, WMS or inventory spreadsheets.
- Exposure to AV, staging, rigging and health & safety practices preferred.
- Comfortable performing physical tasks and regularly moving items >50 lb; safely and operate moving equipment (dollies, pallet jacks).
- Must be able to travel 40-50% of the year.
