What you'll be doing:

 

 
 
 
The role supports the Global Process Documentation Head during the execution of projects or tasks by assisting with the detailed analysis of end‑to‑end processes and providing contextual inputs to draft standardised process documentation and process workflows for final review and approval by the SMEs and Global Process Documentation Head.
This position contributes to enhancing the overall quality of process documentation and develops materials that serve as essential training resources for existing and new employees. The role is critical in mitigating operational risk by ensuring consistency, accuracy, and standardisation across process documentation.
 
KEY RESPONSIBILITIES
  • Develop clear, structured process documentation including end‑to‑end process maps, SOPs, work instructions.
  • Translate complex operational steps into concise, user-friendly documentation that can be followed consistently.
  • Maintain a central repository of all process documents and ensure version control is applied.
  • Work with SMEs to understand current state processes, pain points, and variations across markets, ERPs, or teams.
  • Validate documented processes through walkthroughs, interviews, and observation to ensure accuracy.
  • Identify gaps, inconsistencies in existing documentation and propose improvements.
  • Facilitate reviews with SMEs, process owners, and operational leads to ensure documentation accurately reflects working practice.
  • Coordinate formal sign‑off and maintain audit trails of approvals.
  • Act as the point of contact for documentation queries across SSC and Network teams.
  • Ensure documentation aligns with WPP Policies, internal controls, audit requirements, and local regulatory standards.
  • Apply documentation standards, templates, and naming conventions consistently across all materials, following Global Head direction.
  • Where required, support readiness for audits by ensuring documentation is complete, current, and accessible.
  • Update documentation in line with process changes, system enhancements, or organisational policy updates.
  • Work with change managers or project teams to ensure new or updated processes are communicated effectively.
  • Support training teams by providing accurate process content for onboarding and upskilling materials.
  • Monitor feedback from users and identify opportunities to simplify or improve documentation.
What you'll need:
  • Ability to break down end‑to‑end processes into logical, sequenced steps.
  • Strong understanding of process modelling techniques such as BPMN, SIPOC, or swim lane diagrams.
  • Skill in identifying inconsistencies in existing processes.
  • Experience in analysing variations across markets, teams, or systems and documenting them clearly.
  • Ability to write clear, concise, user‑friendly SOPs, work instructions, and process maps.
  • Strong command of language, grammar, and structured writing.
  • Experience applying documentation standards, templates, and naming conventions.
  • Skill in simplifying complex information without losing accuracy or control requirements.
  • Experience working with SMEs, process owners, and operational leads to gather information.
  • Ability to run workshops, interviews, and process walkthroughs.
  • Strong communication skills to challenge, clarify, and validate process details.
  • Confidence managing sign‑off cycles and coordinating feedback.
  • Ability to ensure documentation aligns with local regulatory, financial policy, or operational standards.
  • Ability to update documentation in line with system changes, process redesign, or new controls.
  • Experience supporting training teams with accurate process content.
  • Proven experience in working in transformation or shared services environments.
