The role ... 

The Purchasing Coordinator plays a pivotal role in the day to day operation by liaising with the various (heads of) departments and suppliers. The Purchasing Coordinator ensure appropriate availability of food-, beverage- and other product at all times as well as ensuring one-off ad-hoc needs are met.

The Purchasing Coordinator is responsible for accurate tracking of logistics information (orders, receipts, invoices) in the ERP system and for the provision of reliable cost of sales information and reports from the system.

 

Key Accountabilities

Purchase to Pay

    • Review and raise orders with suppliers based on inputs from the various teams, current stock levels and ad-hoc requests;
    • Maintain contacts with key suppliers and ensure compliance with contracts in place;
    • Troubleshoot delivery issues or one-off ad hoc needs from the teams;
    • Ensure records in the ERP system (Adaco) remain up-to-date in regards of orders, deliveries and invoices as well as standing data (products, suppliers, recipes);
    • Manage a team of two goods receivers and support them to run a smooth internal logistic operation;

Inventory & Cost Control 

    • Support the goods receivers and various teams with their periodic inventory count;
    • With the heads of department, review and analyse outcomes from stock take and follow-up as appropriate;
    • Together with heads of departments, regularly assess set PAR levels and update as appropriate reflecting menu changes and seasonal pattern;
    • Support the finance team on cost control and provide weekly cost of sales reports;

Team Management

    • Manage a team of 2 goods receivers including rota’s, health and safety on the job, people development as well as day to day setting of priorities and ensure all tasks are completed in an accurate and timely manner;
    • This role reports into the on-site financial controller and works closely with heads of department including but not limited to chefs, restaurant- / floor managers, bar manager, housekeeping manager, and the maintenance manager;

Working Place & Hours

    • This is a full-time job (38 hours), fully carried out on site in the Soho House in Amsterdam;
    • Typical working hours would be from Monday to Friday between 9:00 – 17:00, occasionally and in line with business needs this may require some flexibility;

 

What we are looking for

Skills & Character 

    • IT savvy, it is crucial to this role to keep the systems up-to-date;
    • Creative, by the nature and fast pace of our business the successful candidate needs to be able to find creative solutions from time to time;
    • Not shy to roll up the sleeves and support physical goods handling from time to time;
    • A natural communicator, this role requires maintaining good relations both internally and externally;
    • Thriving in a fast paced environment balancing long- and mid-term goals with ad-hoc requests that require sense of urgency;

Education & Experience 

    • 3-5 years of experience in a similar role in the purchasing / internal logistics domain;
    • Previous experience with food & beverage product highly preferred. Experience in hospitality a big plus;
    • Fluent in English, preferably in Dutch too;
